Understanding Drayage

Drayage is the handling of your freight from the loading dock to your booth space — and it's often the biggest surprise cost for first-time exhibitors. Drayage is charged by weight (per 100 lbs, called CWT) and can add hundreds or thousands to your costs. Plan for it.

Advance Warehouse vs Direct-to-Show

Advance warehouse: Ship early to the show's designated warehouse. Your materials are guaranteed to be at your booth when you arrive. Recommended for most exhibitors.
Direct-to-show: Ship to arrive during move-in. Cheaper but riskier — tight delivery windows and potential delays.

Trade Show Shipping Checklist

Read the exhibitor manual — it has shipping addresses, deadlines, and labeling rules
Label every piece with booth number, show name, and exhibitor name
Ship to the advance warehouse when possible (usually 2–3 weeks before)
