Understanding Drayage

Drayage is the handling of your freight from the loading dock to your booth space — and it's often the biggest surprise cost for first-time exhibitors. Drayage is charged by weight (per 100 lbs, called CWT) and can add hundreds or thousands to your costs. Plan for it.

Advance Warehouse vs Direct-to-Show

  • Advance warehouse: Ship early to the show's designated warehouse. Your materials are guaranteed to be at your booth when you arrive. Recommended for most exhibitors.
  • Direct-to-show: Ship to arrive during move-in. Cheaper but riskier — tight delivery windows and potential delays.

Trade Show Shipping Checklist

  1. Read the exhibitor manual — it has shipping addresses, deadlines, and labeling rules
  2. Label every piece with booth number, show name, and exhibitor name
  3. Ship to the advance warehouse when possible (usually 2–3 weeks before)
  4. Keep an inventory of every crate and case
  5. Plan the return shipment before the show ends — book outbound logistics in advance

Protecting Your Exhibit

Trade show displays are expensive and reused show after show:

  • Use reusable shipping cases (ATA-rated road cases) for displays and AV
  • Foam-line cases for monitors, electronics, and fragile signage
  • Document condition before and after each show

Round-Trip Coordination

The biggest trade show logistics mistake is forgetting the return trip. After the show, materials need to go back to your office or on to the next event. Coordinate outbound freight before the show closes to avoid abandoned-freight fees.
